Auto enrolment pension administration
Auto enrolment pension administration means assessing workers, calculating contributions and keeping the pension process aligned with payroll. Streamlining Payroll supports UK employers with assessments, employee communications, opt-ins, valid opt-outs, re-enrolment and contribution uploads. Statutory pension submissions are included with standard payroll plans; the employer remains responsible for its workplace pension duties and payments.

What needs checking each pay period?
Eligibility is not settled by an employee’s position at recruitment. Age and earnings can change, especially for hourly-paid staff with overtime, unpaid leave or variable shifts. Assessment needs to follow the relevant pay reference period and the current statutory rules. We review worker information alongside the payroll calculation so an earnings change is not missed between separate spreadsheets.
Contribution calculations depend on the scheme’s agreed basis. Qualifying earnings and pensionable pay are not interchangeable terms, and a provider’s settings need to match the basis you have adopted. Tell us about salary changes, contractual arrangements and relevant absences. A contribution file that uploads successfully can still contain the wrong figures if the payroll setup or employee category is incorrect.
How are employee communications and opt-outs handled?
Workers need the appropriate information about enrolment and their rights. Communications should be linked to the actual action taken, rather than using a single generic letter for everybody. We support the administration alongside assessments and maintain the information needed to record the payroll outcome. Your employer decisions and scheme details still need to be clear.
An opt-out is a regulated process, not a manager’s instruction to stop deductions. The notice, eligibility and timing must be valid, and a refund depends on the applicable rules. Employees must not be encouraged or pressured to opt out. An opt-in or joining request also needs checking against the worker’s rights, including whether employer contributions are required. Send requests promptly instead of holding them until the next convenient month.
What happens after the contributions are calculated?
We prepare and upload contribution information to the agreed provider as part of the payroll process. That is distinct from the employer making payment and confirming the provider has received it. File errors, rejected members and payment failures need attention; a completed payroll report alone is not proof that the pension scheme has accepted every contribution.
Re-enrolment is generally required every three years, with a re-declaration of compliance even when nobody needs to be put back into the scheme. This is not the same as ordinary pay-period assessment. We plan the administration around the relevant duties, review workers who left the scheme and check the applicable exceptions. Ask us to confirm which initial declaration, re-declaration and additional work is included in your agreed scope.
How does it work?
- 1
Review the scheme and workforce
We confirm the provider, contribution basis, worker details and current pension status. Existing enrolments, postponement records and opt-out information are checked so the payroll setup reflects the scheme rather than relying on memory.
- 2
Assess and calculate
Each pay period’s information is assessed against the relevant rules and scheme settings. We calculate employee and employer contributions and identify changes needing communications or further instructions before the run is finalised.
- 3
Approve and upload
You review the payroll and pension totals together. We prepare the agreed provider submission, address file issues and keep the pension record aligned with the approved pay figures rather than maintaining disconnected versions.
- 4
Monitor continuing duties
You arrange scheme payments while we support the agreed payroll administration. Re-enrolment, valid opt-outs, worker requests and record retention are tracked, with changes raised early enough to avoid a rushed correction.
Common mistakes and compliance traps
Do not equate an employee’s wish to leave with a valid opt-out notice, or assume an upload transfers money. Check the provider’s acceptance and the employer’s payment process separately.
The employer retains its legal duties. Re-declaration must not be forgotten simply because no staff are re-enrolled. Use current regulator guidance for eligibility thresholds, minimum contributions and deadlines rather than an old payroll checklist.
Frequently asked questions
Can you manage auto-enrolment?
Workplace pension administration supports worker assessments, contribution calculations, relevant communications and provider uploads. Confirm the scheme and contribution basis at onboarding so administration follows your actual pension arrangement.
Are pension submissions included in the price?
Statutory workplace pension submissions are included with standard employer payroll plans. Your quote confirms the scope and any separate work required, such as resolving an inherited backlog or additional migration issues.
Can employees opt out through their manager?
A manager’s message is not a substitute for the required valid opt-out process. We check the information against the applicable rules before changing deductions or processing a refund. Employers must not induce staff to opt out.
Who pays the pension provider?
The employer remains responsible for making the required scheme payments. Our agreed administration prepares the payroll calculations and submissions; you need a working payment arrangement and a way to check acceptance and any provider errors.
Can you manage weekly and monthly assessments?
Weekly and monthly pension assessments and contribution calculations follow the relevant schedule and scheme rules. Mixed frequencies need separate cut-offs and accurate records, especially when employees move from one pay cycle to another.
