White label payroll for accountants UK
White label payroll for accountants is a confidential payroll service delivered under a practice’s branding while the practice retains its client relationship. Streamlining Payroll prepares calculations, payslips, pension administration, CIS and RTI for UK accountants and bookkeepers. Your practice approves each run before submission; we never contact your clients directly or present this as an accountancy service.

How does the practice stay in control?
Your practice is the client-facing contact. We work with your nominated team, prepare the payroll and provide the reports for approval. Payslips, reports and correspondence carry your practice identity. Client questions reach us through you, keeping instructions and decisions in one controlled channel. We never contact your clients directly, including when a pay input needs clarification.
The partnership is a separate service line from the same payroll bureau, not an offer to provide accounting services to your clients. We agree the branding, instruction route, approval authority and deadlines at onboarding. If your usual approver is away, a named deputy should be authorised in advance. That prevents a routine absence turning into a last-minute decision about who can release a pay run.
What does the white label fee include?
The published practice price is per payslip, with auto-enrolment, CIS deductions and RTI submissions included. We process weekly, fortnightly, four-weekly and monthly payrolls, with the schedule confirmed for each client. Starters, leavers, statutory payments and payroll year-end outputs sit within the agreed processing workflow. You keep the commercial relationship and decide how to present your own fee to the client.
There are no setup fees or monthly retainers. Your written quote confirms the price and what it includes before you start. The four employee bands are shown in the white label price table on this page only. Confirm which client payroll falls into each band, the actual volume and the working timetable when requesting practice pricing. The employee bands are not permission to combine unrelated client schemes into a different rate without agreement.
What work can your practice avoid?
Outsourcing does not eliminate compliance risk or the employer’s legal duties. Your practice still needs a sound approval process and accurate client instructions; the employer remains legally responsible for PAYE. We carry out the agreed work, and queries are resolved through the practice. A partner arrangement should make responsibilities clearer, not imply that one party can stop reviewing payroll because another party operates the software.
How are confidentiality and client information handled?
Payroll information contains salary, bank and personal details, so the contact route must be deliberate. Data is processed in the UK under UK GDPR and the Data Protection Act 2018, with role-based access and encrypted payslip portals. We agree who in the practice can send instructions, view outputs and authorise changes, rather than letting every forwarded message become an instruction.
Use the agreed secure transfer method for exports and supporting records. Confirm client identities, payroll references and branding before the first run, particularly when several client schemes have similar names. We do not use the partnership as a reason to approach your clients for other services. The practical objective is a dependable payroll workflow behind your practice identity, with a clear route back to your team for questions.
How does it work?
- 1
Practice setup and discovery
We review your client payrolls, pay structures, history and schedules, then agree branding, secure communication and approval contacts. You decide the order of onboarding rather than assuming every scheme must move together.
- 2
HMRC authorisation
We arrange the relevant PAYE authorisation through Form 64-8 and confirm the scheme references and reporting responsibilities. The employer and practice know who is authorised; personal login details are not used as a shortcut.
- 3
Reconciliation and parallel run
We reconcile year-to-date balances and compare a parallel calculation with the existing payroll. Your practice reviews differences before go-live. Tests stay separate from live submissions so a handover does not create duplicate reporting.
- 4
Go-live under your branding
Employee access and outputs are set up under the agreed practice identity, with approval before submission. Typical SME switches take two to four weeks; the schedule for a portfolio depends on records and agreed priorities.
Common mistakes and compliance traps
Do not assume outsourcing removes the employer’s PAYE responsibility or the need for practice approval. Instructions about pay, worker status and statutory leave must be confirmed by the appropriate decision-maker.
Avoid duplicate live submissions during a client move. CIS registration does not settle employment status, and an informal message is not a valid pension opt-out. Flag uncertain treatment before approving the run.
Frequently asked questions
Will you ever contact our clients directly?
Streamlining Payroll does not contact practice clients directly. We communicate through your nominated practice contacts and never contact your clients directly. Payslips, reports and correspondence use the agreed practice branding, keeping the client-facing relationship with your team.
Who approves the payroll before submission?
Your practice approves the prepared run before submission. We agree who may instruct and approve payroll, including a deputy, so a forwarded client message does not bypass the control process.
Are CIS, RTI and auto-enrolment included?
The white label per-payslip prices include auto-enrolment, CIS deductions and RTI submissions. Confirm the client schemes, frequencies and onboarding scope in your practice quote before the first run.
Are there setup fees or retainers?
No. There are no setup fees or monthly retainers. Your written quote confirms the per-payslip price and what it includes before you start.
Can we move client payrolls mid-year?
Client payrolls can move mid-year. Each client payroll needs reconciled year-to-date information, reporting ownership and a parallel run. A typical SME move takes two to four weeks; a portfolio is scheduled according to records, complexity and priorities.
